EVENT: Northeastern Healthcare Technology Symposium – 2025

HOSTED BY: New England Society of Clinical Engineering (NESCE)

VENDOR EXHIBITS Wednesday, October 15th and Thursday, October 16, 2025

PLACE: Doubletree by Hilton Manchester Downtown 700 Elm St, Manchester, NH 03101  

VENDOR PERKS: Lunch and inter session breaks will be hosted at round high-top tables in the exhibit hall to maximize facetime opportunities.  Events are structured to allow maximum vendor and attendee interactions.

EXHIBITOR’S FEES The fee is $1950 and includes one booth, draped table, two chairs, wastebasket, sign for booth, 2 tickets per day for Wednesday and Thursday lunches (Additional lunches will cost $20/person).  The vendor will need to arrange for electrical power and extension cords directly with the hotel (an Electrical Request Form will be sent with the Vendor Kit once you register and typical cost is $100 – $120). 

PAYMENT FOR SPACE: Vendors will be redirected to an online booth registration page upon application submission. Vendors will be able to purchase booth spaces online, and an email confirmation will be sent to the email indicated in the application. Physical checks for booth payments must be sent within 10 Business Days of Application submission to reserve booth space.

ACCOMMODATIONS: A block of rooms at the Doubletree by Hilton Manchester Downtown has been reserved for a limited time.  When making reservations please mention the Northeastern Healthcare Technology Symposium to receive the special Symposium Room Rates. INSTALLATION OF EXHIBITS: Piping and drapes will be set up for booths on Tuesday, October 14, 2025.  Vendors may have access to the area from 4 pm until Midnight. The Exhibit Hall will also be open to vendors by 8 am Wednesday, October 15, 2025.

CHARACTER OF EXHIBITS: NESCE reserves the right to decline or prohibit any exhibit or part of an exhibit booth activity, which in its opinion is unsuitable.

EXHIBIT HOURS: Exhibits will be located in the Exhibit Hall of the Doubletree by Hilton Manchester Downtown. Dedicated vendor exhibit hours will be scheduled as part of the program; details will follow.

GUARD SERVICES: Area will be locked when it is not occupied.

REMOVAL OF EXHIBITS: Removal of exhibits may commence at 4:00 pm on Thursday, October 16, 2025 and must be completed by 6:00 pm.

RESPONSIBILITY: The exhibitor assumes entire responsibility and, hereby, agrees to protect, indemnify, defend, save and hold harmless the New England Society of Clinical Engineering (NESCE) and their agents, against all claims, losses and damages to persons or property, governmental charges, or fines and attorney fees arising out of or caused by Exhibitor’s installation, removal, maintenance, occupancy or use of the exhibition premises or a part, thereof, excluding any such liability caused by the sole negligence of NESCE and their agents.

CANCELLATION OF SPACE: Any cancellation of exhibit space prior to October 1, 2025 will result in a 50% refund of the exhibitor’s fee.  Any cancellation after October 1, 2025 will result in NO REFUND of exhibitor’s fee.

NOTE: Minor details will be subject to change based on hotel and program arrangements as the final Symposium Program is developed.
